Development & Events Coordinator

The Development & Events Coordinator of the Nantucket Book Foundation is responsible for providing support to the Executive Director of the Nantucket Book Foundation and completing specific assignments and projects as assigned. The Coordinator will communicate with others outside and inside the organization on behalf of the Nantucket Book Foundation, will manage administrative tasks in our software systems, and will assist with the logistics of the Nantucket Book Festival and other events/programming. The Coordinator will be well organized, flexible, and solutions-oriented.

Important Information

Employment Type: Part Time with potential for growth

Estimated Hours: Average 15 hours per week throughout the year with the busiest time from March - June, the end of July and the beginning of September. Some weeks will require more than 15 hours of work while others will require fewer than 15.

Location: Remote & In Person: most aspects of job can be performed remotely, though we have an office space employee can utilize. Expected in person for work surrounding events and as required by Executive Director.

Start date: Immediately

Salary Range: $15,000 - $20,000

Desired Characteristics/Qualifications

A love of books/reading and the desire to promote NBF’s mission on Nantucket and beyond!

Experience working with nonprofit organizations, specifically in development/fundraising and event management

Excellent attention to detail, accuracy and quality of work

Ability to maintain professional relationships with the Board of Directors, staff, committee members, volunteers, donors, and authors and maintain confidentiality when appropriate

Ability to troubleshoot independently AND ability to recognize when to escalate a request or situation to the Executive Director

Excellent written and verbal English communication skills

Ability to learn the software systems used by the Nantucket Book Foundation, especially Neon CRM donor database

Familiarity with MS Office Suite and Google Suite

Full in-person availability for the week and weekend of the Nantucket Book Festival

Note: Coordinator will be expected to work more than 15 hours per week in the weeks leading up to events but may work fewer than 15 hours per week during slower periods

1 – DEVELOPMENT - average 4hrs. per week

Organize implementation of Development Strategic Plan created for NBF in 2023

Clean and organize data in donor database

Send out weekly donor acknowledgement letters

Update Board of Directors of new donations each week

Oversee grant calendar, keeping Executive Director informed of upcoming deadlines and assisting in grant applications as time permits

Assist with 1-2 annual donor/sponsor fundraising appeals and mailings

2 – EVENT MANAGEMENT - average 5hrs. per week

Nantucket Book Festival - June 10 - 16, 2024

  • Be present and on site throughout the entire Nantucket Book Festival week
  • Update website with Festival information as it becomes available

Manage travel and lodging for Book Festival presenting authors:

  • Work closely with Swain’s Travel and all presenting authors for the Nantucket Book Festival to arrange travel to and from Nantucket
  • Act as general contact for author questions/concerns throughout the booking and pre-Festival process
  • Be available via phone, text, email during the Book Festival to troubleshoot with authors when unexpected travel/lodging situations arise
  • Track all travel/lodging changes, expenses, etc. in spreadsheets and assist in post-Festival reporting

Evening with Elin Hilderbrand - August 1, 2024

  • Coordinate with boutique sponsors and models for “Read the Runway Fashion Show” to arrange fittings and to pick up/drop off clothes during the week prior to and following the event
  • Be present and on site during setup before and during the event

Children’s Festival - September 8, 2024

  • Manage travel and lodging for authors coming from off island
  • Be present and on site during setup before and during the event
3 – MEETINGS - average 6hrs. per week; average 4-8 meetings per month

Assist Executive Director in preparing board and committee meeting materials

Attend Board and Festival Committee meetings either virtually or in person with Executive Director

Maintain records of decisions and ensure action items are clearly recorded as directed

Record and distribute all meeting minutes within 3 days of each meeting
